Responsibilities:
To receive all incoming calls in a professional and timely manner and re-direct to the correct extension. Keeping the caller informed at all times.
To meet and greet all visitors at reception. Ensuring completion of visitors book, offering tea, coffee and conversation during wait at reception.
Ensure that the reception area is clean and tidy and that magazines and newspapers are kept up to date in order to portray a good image for the Company
Process all incoming and outgoing mail. All incoming mail to be distributed, all relevant mail to be opened and stamped. All outgoing mail to be franked along with any other requirements e.g. recorded delivery.
Arrange lunch and break duty rota for reception to ensure a consistent and reliable service is provided at all times.
Provide general administrative support as and when required.
Greeting visitors to the premises, in a pleasant manner, ensuring that they sign the visitor’s book in case of an emergency or for security purposes and confirming their arrival with the appropriate members of staff.
Any other delegated responsibilities as instructed by Line Management within the timeframe specified in a safe and efficient manner to meet business requirements, provided the instruction is reasonable and you are capable and deemed competent to fulfil these.
Hours of work - 12 to 16:30 hours
Requirements:
Must posses a good level of general education
Certificate in basic administration
Computer literate, good organisational skills
Working knowledge of providing secretarial / administration support in an office environment.
Familiar with office equipment i.e. Fax, Photocopier
Certificate in Microsoft Office Package
Ability to work on own initiative
Ability to work well as part of a team
Ability to establish a good rapport with both customers, suppliers and employees
Experience in use of office switchboard
Experience of providing secretarial support in an office environment
Good communication skills both verbal and written.
Flexible attitude to working hours.
Proven organisational and administrative ability
