Job Description
PLANNING AND ORGANIZING
- Develop and apply methods of keeping accurate records and maintaining a filing system that ensures availability of legal information and other company records, and generally to enhance the workflow of the Legal Department.
- Perform assigned duties in a confidential and professional manner to facilitate the objectives and goals of the company and to enhance the performance of the Legal Department.
CONTROLLING
- Provide general information and administrative support to the Legal and Human Resources Departments as well as other departments on an as needed basis.
- Comply with and perform job within company policies and procedures.
PRODUCING
- Provide general administrative support to Legal and Human Resources departments as needed.
- Provide copying, filing and scanning support for the Legal and Human Resources Departments. Projects will include, but are not limited to, managing incoming and outgoing correspondence and support for the creation and maintenance of a permanent archive of company records.
- Perform corporate records retention and maintenance duties, in cooperation with other staff of the Legal Department, such as establishing records retention schedules, overseeing and authorizing document destruction; serves as legal interface with other departments to ensure that appropriate documents are indexed, archived and properly stored.
- Receive and screen telephone calls for counsel in a prompt, professional, confidential and friendly manner. Maintain complete and accurate call log. Provide backup phone administration for Black Hills Energy.
- Maintain and update contact list for counsel.
- Develop and organize data necessary to generate monthly, quarterly and annual reports.
- Provide word processing support to the Legal and Human Resources Departments.
- Sort and distribute mail, parcels and faxes delivered to the Legal and Human Resources Departments in a timely manner.
- Compose and prepare agendas and minutes of corporate and staff meetings.
- Draft correspondence for Legal Department personnel.
- May request and obtain certified copies of documents from the Secretary of State and other governmental agencies.
- Coordinate and initiate meetings for Legal Department staff; arrange conference calls for Legal Department staff.
- Coordinate activities between Legal Department and other personnel across multiple offices. Provide administrative support to personnel across business lines as directed by Legal Department staff.
- Complete travel arrangements, including air travel, hotel reservations and car rentals for Legal Department staff as requested.
- Prepare expense reports for Legal and Human Resources staff in Golden.
- Assist with interview coordination and responses as required for Human Resources in the Golden office.
- Maintain an adequate supply of office supplies and keep the supply area organized for the Legal Department.
- Prepare PowerPoint presentations and Excel spreadsheet reports as required by Legal and Human Resources.
COMMUNICATIONS
- Maintain strong working relationships with all company employees including officers, Board of Directors, department staff and other company personnel.
- Communicate with supervisor regarding the status of work on a regular basis.
- Present ideas for improving efficiency of duties to counsel.
SUPPORTING/ASSISTING
- Provide support to the Legal Department staff when needed by responding to inquiries as promptly as possible.
- Provide general support and assistance to the Legal and Human Resources Departments in order to meet deadlines and goals.
Qualifications
- High School diploma with additional education in business, secretarial, or accounting or equivalent experience.
- Two-year Associate Degree or post-secondary education relating to the position is preferred.
