Our Sunrise Oil Sands Project has two challenging opportunities available for an Administrative Assistant - Central Process Facilities and an Administrative Assistant - Field Facilities. Our ideal candidates will provide administrative support to the Project Manager and the team members of this mega project.
Key responsibilities include but are not limited to:
- Preparing Project presentations, spreadsheets and graphs for Project Management and Project Engineering group
- Providing administrative support around correspondence, filing, faxing, courier, processing mail, expense reports, SAP time entry, travel arrangements, organizing meetings, and ordering office supplies
- Providing back-up administrative support to the Commercial Team
- Managing new/transfer employee set up for the group through iManager and iRequest (computer equipment, network & building access, phone, etc.)
- Providing bi-weekly reports for the group
- Attend key meetings and record minutes and action logs
- Coordination of meetings and other activities with counterpart at EPC firm
- Daily or weekly contact with IT to troubleshoot any issues relating to Citrix or to the printer/scanner
- Assisting members of the Sunrise Team on an as-needed basis during busy periods
- Obtaining signatures and approvals in a timely manner
- Attend, whenever possible, Sunrise & E&PM team meetings and provide feedback as required
- Schedule and coordinate internal meetings, off-site meeting or team building functions for the department
- On a daily basis liaise with the assigned Engineering Procurement Contractor's (EPC) Administrative Assistants as required
- Display tact and good judgment in resolving problems and answering inquiries
- Exercise independent judgment in planning, scheduling and organizing work assignments
- These positions will be located in Calgary, Alberta, at the assigned Engineering Procurement Contractor's (EPC) office.
Qualifications
Our ideal candidate(s) will have the following qualifications:
- High school diploma, secretarial diploma, or equivalent training and business experience
- Minimum of 5 years' administrative/secretarial experience in the oil and gas industry
- Experience within a project environment would be a definite asset
- Mastery of Microsoft Office Products (Word, Excel, Access, Powerpoint) is required. Experience using SAP would be an asset
- Strong organization and planning skills, with the ability to set priorities, follow-up and meet deadlines
- Ability to communicate with all levels of the company and external contacts
- Excellent attention to detail
- Displays tact and good judgment in resolving problems and answering inquiries
- Ability to exercise independent judgement in planning, scheduling and organizing work assignments
- A high degree of initiative, self-motivation, and willingness to accept new challenges that the position may offer
- Excellent proof reading and business writing skills
