The Project Administrator is responsible for providing accurate project accounting support to PCL, PM, AM & customers. The PA will be allocated medium and/or multi projects and functionally reports to the Projects Controls Lead, for the region within which he/she operates, and agrees day-to-day activities with the PM. The PA is responsible for supervising and coordinating activities on allocated projects, as well as the legitimacy of the work assignments for allocated projects & personnel. The PA will ensure corporate governance, procedure compliance and will provide technical leadership as well as mentoring the GPC personnel allocated to the PA’s projects.
 
Direct Responsibility:
·         Reviews original order data, for compliance with established criteria, and enter data into Oracle Project Accounting System.
·         Enters change data into Oracle, including budgets, tasks, milestone events and more.
·         Accountable for project control procedure compliance & standards on allocated projects
·         Prepares reports showing if a project has all revenue forecasted consistent with plans developed by the Project Manager and Project Control personnel.
·         Prepares reports for management on future invoicing opportunities.
·         Prepares documents to process customer invoices, consistent with the terms and conditions of the contract for the project, for payment against project milestones, incidental services, and time & material events at the direction of the Project or Program Manager
·         Prepares preliminary project invoice plans based on contract terms and conditions for review and approval by the project manager or others.
·         Apply and maintain project control tools (workbook, Deliverables Control Index) for small projects.
·         And tracks receivables.  Coordinates with Finance, the Project Management and the customer to ensure prompt payment.
·         Work with minimal supervision on independent projects to obtain and present rolled up financial data to upper management.
 
Shared Responsibility:
·         Help define and develop productivity improvements to the project financial maintenance processes.
·         Work with financial and accounting staff to test up grades and changes to Oracle PA.
·         With Project Managers & PCL during a project to make available PA reports and/or develop new reports (Discoverer queries) when necessary for successful implementation of projects. 
·         Provide recommendations for problem solving issues with PA.
·         Prepares project requisitions in support of project procurement requirements using both procurement cards and the Oracle requisition tools.
·         Works with PCL to assist in Business Planning & Analysis
·         Supports the Program/COE Manager as required
 
Other duties as assigned
Assists PC personnel to produce accurate cost estimates for change orders
 
Skill Requirements:
·         Office & Primavera applications of estimating, tracking and control of finance & cash flow concepts, processes, planned, actual, forecast, skills – oral, written, presentation
·         Negotiation & conflict management skills
·         Total Quality Management concepts
·         Proactive, helpful, constructive, integrity & open
·         Experience with desktop applications including MS Office, with a minimum intermediate level skills in Excel
·         Oracle Projects accounting experience is highly desirable
·         Oracle Discoverer query design and reporting experience a plus
·         Excellent verbal and written communication skills
·         Strong organizational skills are necessary to be successful in this position
 
Qualifications:
·         Demonstrable project related experience
·         5 years related experience
·         Bachelors Degree in Finance, Accounting or Business Administration, or 3+ years experience working in Process Automation projects - Projects Administration and Control
