Essential Job Duties:
- Provide high level administrative support to the HES & Regulatory Manager, HES Superintendent, HES Specialists, and other Hugoton Operations staff functions as needed.
- Catalogue and file data received that is essential for completing monthly HES reports.
- Catalogue and file training records, recordable and environmental incident records, contractor and employee hours, Behavior Based Safety documentation, Safe Work Permits, environmental permits, and other HES-related records.
- Assist in preparation of monthly, quarterly and annual HES reporting requirements.
- Complete daily, weekly, and monthly requirements for CATTS, KMS, BAPP Track, and TrainingMine administration.
- Create and distribute certification cards and HES bulletins.
- Administer data spreadsheets for Action Tracking, Self Assessments, Safe Work Permit reviews, Safety Incentive Awards, Health Initiative, Vehicle mileage, instrumentation repair and calibration records.
- Assist in data gathering and trending for formal and ad hoc presentations.
- Manage HES shared calendar. Distribute HES correspondence and notifications.
- Maintain current information in Crisis Communication Plan and Emergency Response Plan.
- Maintain current specific HES programs on Mid–Continent website.
- Work with website manager on content and design.
Major projects:
- Consolidation and organization of Hugoton Operations HES record keeping system.
- Create 2008 HES PRM Assessment Guide for the web page and binder form.
- Transfer relevant functions from Liberal Share drive to web page.
- Organize and maintain contractor information through ISNetworld and Contractor Safety Questionnaires.
Required Qualifications:
- High School Diploma
- Advanced working knowledge of Microsoft Word, Excel, PowerPoint and Outlook
- Excellent work ethic, willingness to put in extra time and effort to ensure effectiveness, and dependability
- Excellent written, verbal communication, and presentation skills
- Excellent organization, planning and priority setting skills
- Proven ability to work independently on multiple projects concurrently with time sensitive deadlines
- Ability to interact in a helpful, courteous, and professional manner with all levels; both internal and external to the company
- Resourceful in accomplishing work tasks and obtaining needed information
- Ability to prepare correspondence and documents with a high level of accuracy and attention to detail
- Demonstrate a sense of urgency and a level of energy required to handle a fast-paced environment
Additional Desired Qualifications:
- Bachelors degree or Associates degree with strong educational performance and continuing education classes or equivalent experience.
- Educational background in health, environment, and/or safety related field
- Certified Training Certificates (CPR/AED, First Aid, H2S, etc.)
- Ability and desire to pursue HES education
- Experience in CATTS administration
- Experience in KMS administration
- Experience in TrainingMine administration
- Experience in Microsoft Office Publisher or equivalent
- Experience in website administration
